1. Wir werden euch mögliche Übernachtungen von Sonntag auf Montag NICHT bezahlen können!
Da sehr wenige von euch eine solche Übernachtung überhaupt wollen und es teuer für uns ist sie pauschal selbst zu bezahlen müssen wir euch darum bitten, diese Übernachtung selbst zu zahlen. Sorry für mögliche Unanehmlichkeiten, die dadurch entstehen!
2. Ich brauche DRINGEND noch einige Formulare! Bis zum 14. Juni MUSS ich die Formulare haben oder WENIGSTENS die Angaben, wann ihr wie übernachtet!
Ich renne einigen noch hinterher und ich muss nochmal betonen, wie wichtig die Formulare sind, vorallem die Angaben der Übernachtungen. Wir müssen bis zum 14. Juni die Übernachtungen mit der Jugendherberge abklären.
Wer seine Übernachtungsangaben bis zum 14. nicht an mich geschickt hat BEKOMMT KEINE ÜBERNACHTUNGEN VON UNS GESTELLT!
Bitte kümmert euch so bald es geht um die Sachen. Es duldet langsam wirklich keinerlei Aufschub mehr.

Eines gleich vorweg: Diesen Guide wird es NICHT auf Deutsch geben. Da Englisch Consprache ist und ausreichende Englischfähigkeiten bei jedem Helfer vorausgesetzt werden wäre eine Übersetzung irgendwo sinnfrei. Betrachtet es einfach als Test, ob euer Englisch gut genug ist

Everything You Always Wanted to Know About Volunteering (But Were Afraid to Ask)
The 1st Grand Galloping Gala Convention (rolls just off the tongue!), or Galacon for short, is in the works by the decree of her highness Princess Celestia. Guests from all over Europe are invited to have fun, meet new friends and overall experience the best night ever! (20% cooler this time, we promise)
However, to make this a truly great con, the con staff needs your help! The call for volunteers has made rounds already, but this guide finally contains the official rules, information and FAQ for volunteering at the con as well as the link to the volunteer registration system. All in all, this is your 100% up-to-date reference for everything volunteering related.
Please make sure you read this thoroughly before asking a question! Chances are, that thing you're wondering about has already been adressed in the guide.

Volunteer Guide & FAQ
You need help, right? I want to help! What do I need?
Excellent! We are thankful for all the help we can get! Without volunteers, we could never make this convention a success.
However, there are obviously requirements that you as an interested volunteer need to fulfill. If you do NOT meet each of these criterias, we sadly have to decline you a volunteer spot. Don't be sad, though - You can of course still be a normal guest and help us in other ways, for example with a donation over at StartNext!
To become a volunteer, you NEED to meet all of these requirements:
- Age 18 or up
- Decent English skills for communication; basically, if you can speak it okay and understand this guide, your English is up to par
- 8 hours MINIMUM over the entire weekend (2 shifts à 4 hours) that you can DEFINITELY dedicate to your volunteer work
- Teamwork skills
- Good manners and a calm temper
- Enjoying helping!
For the specific jobs, there are of course further requirements. This is the bare minimum for a jack of all trades, standard volunteer. Please do NOT sign up for a job if you aren't confident in meeting all of the basic requirements!
What you DON'T need
- A convention ticket
- A hostel room
- Food
The staff will compensate you for all of these things once you are a confirmed volunteer! You can focus on your tasks - We handle your ticket, your stay at the hostel and your meals and will pay for it all. Your only concern will be travel as we won't pay for your travel costs.
Please inform us far enough in advance if you want to arrive earlier than Friday evening and/or want to stay longer than Sunday evening! We definitely appreciate people helping with setting up before the con and cleaning up after - We just need to know that you can definitely spare the time and thus can book the hostel room accordingly.
The fact that you get a guaranteed ticket, hostel rom and meals does NOT mean you can just sneak into a volunteer spot to score a free pass to the con!
Once you are a confirmed volunteer for the convention, you will have to put 8 hours a day into volunteer duties. There is definitely NO way to weasel around that and volunteering is NOT a chance to slack off. So please, if you think about volunteering only because of the free ticket ... Think again.
What jobs do you need, specifically?
A handful - There should be something for everyone!
Please note that for all of these jobs except the Check In and the Stage Tech, we need Area Managers. Area managers, additionally to the basic requirements for the job of the area they work in, organize the workforce of the area and need the general overview of what's going on. Being an area manager is a big responsibility; thus you should only apply for a spot if you feel confident and definitely think you have the nerves and abilities to handle it.
That being said, we NEED area managers - So don't hesitate to ask if you think you have what it takes! We would be more than thankful.
Here are the different areas we need help in (in no particular order):
Butler
- Area: Volunteer/Staff/VIP-Lounge, Gala Event
- Job: Looking after the volunteers and VIPs, making sure they get food, refreshments and help; serving the guests at the Gala Event
Check In/Con Merch Dealer
- Area: Check In/Gala convention kiosk
- Job: Checking people in for the con (NOT the hostel); selling shirts and other convention related merchandise
Guard
- Area: Entire convention, Gala Event
- Job: Watching over the guests, solving heated situations, calling the police if needed, generally being levelheaded and helpful (please note that this is NOT a proper security service and thus doesn't have the legal authority of such a service! Please ONLY consider this job if you really think you can handle the responsibility and have confidence and charisma)
Salesroom Assistant
- Area: Artist Alley/Dealers Den
- Job: Watching over the salesroom, keeping an eye on the merchandise and assisting the sellers
Stage Hands/Tech
- Area: Eventroom, Gala Event
- Job: Providing sound and lighting for the events, handling the stage equipment (expertise with these things required!)
Runner
- Area: Entire convention
- Job: Jack of all trade work, lending a helping hand wherever it's needed.
Alright, I think I know what I want to do. How do I apply?
It's quite simple! The process is as follows:
- Head on over to our Volunteer Registration System and sign up (make sure you put in your COMPLETE personal information since we are legally required to have it!)
- Go to "avaible shifts" and apply for the shifts of the jobs you want to do (remember - A MINIMUM of 8 hours over the entire weekend, in shifts à 4 hours)
- Once you've applied and don't have any further questions, send me (Perrydotto) a PM with the volunteer system's message feature so I can double check.
- If everything is set and alright, you will receive two forms you'll have to fill out. One is your legal agreement to volunteer, the other is to share your personal contact information and additional things like allergies with us. Both HAVE to be filled out. Also, the legal agreement has to be printed, signed by you personally and scanned in. This is VERY important. Since it's a legal document, it has to be done exactly this way. Photos of the document, no matter how well taken, don't count. If you lack a scanner and/or a printer, your local copy shop can help you out.
- DONE! Congratulations; you are a volunteer for the Galacon now and can rightfully call yourself one of the people who make this wonderful event possible. Thank you very much!
Please remember that the staff has the right to refuse you as a volunteer for one reason or another. This is not meant to be a personal insult, but might have to be done to ensure the quality of volunteer team and the service provided to our guests. Please keep this in mind!
